Transport & logistics

CRM for transport companies, across borders too.

In a CRM for transport companies, what counts are shippers, retailers and manufacturers with regular demand. Armiflow finds such companies by industry and region, writes personal drafts in the company’s language and connects quote, framework contract and invoice in one system.

How does Armiflow help transport and logistics companies?

As a CRM for transport companies, Armiflow searches for companies such as manufacturers, wholesalers or online retailers by industry and location and shows them on the map. The AI writes personal drafts in the language of each company, and nothing is sent before your approval. Framework contracts are signed digitally, and invoices are checked against § 11 UStG, the Austrian VAT Act, with reverse charge and selectable currency.

Everyday work in transport and logistics

Logistics lead generation between dispatch and daily business

Transport and logistics companies are fully occupied with day-to-day business: vehicles, drivers, deadlines and clients all need coordinating. Winning new shippers often relies on personal contacts and referrals, and when a large client drops out, capacity utilisation suddenly falls short.

Many clients are based abroad and speak another language. For businesses in Austria, invoices must contain the details required by § 11 UStG (RIS), often with reverse charge for clients elsewhere in the EU and occasionally in another currency. Framework contracts with a term and add-on services need to be documented properly.

Armiflow is not dispatch or route planning software and offers no GPS. It takes care of the commercial side: finding clients, contacting them, closing contracts, billing and preparing documents. With the fleet module you can also manage your vehicles, with deadlines for the § 57a roadworthiness test (the Austrian “Pickerl”), service, leasing and insurance, as well as running costs, tyre sets and service history.

  • Find shippers and retailers with transport needs
  • Contact companies in their own language
  • Close framework contracts digitally
  • Create correct invoices for domestic and foreign clients

Questions and answers

With Armiflow as your CRM for transport companies, you search for companies with regular transport needs, such as manufacturers, wholesalers or online retailers, by industry and location. The AI writes personal drafts in the company’s language, which you approve. Replies, appointments and quotes are then recorded in the CRM.

Armiflow is a sales and business platform that, as software for haulage companies, combines prospecting, quotes, framework contracts, invoices and bookkeeping preparation. The setup assistant has an industry template for transport, and the fleet module manages vehicles, deadlines and costs. Armiflow does not offer dispatch, route planning or GPS, so you keep using your existing system for that.

For logistics lead generation, companies that regularly ship or receive goods are suitable: manufacturers, wholesalers, online retailers, building materials suppliers or food businesses. In Armiflow you search for such industries in one location, several locations or within a radius and see the results on the map.

Yes. The AI writes email drafts in the language of each company, regardless of your own interface language. The interface is available in German, English, Turkish and French. The AI only uses a personal greeting when the name has been verified, and nothing is sent before your approval. For a CRM for transport companies working abroad, this is often the key.

Armiflow supports reverse charge, tax rates and the small business exemption and checks every invoice against § 11 UStG. Numbers are gapless, and instead of editing, invoices are cancelled. The currency can be selected. Which rule applies to a particular service is something you clarify with your tax adviser; Armiflow makes sure the invoice is formally complete.

The contract is created from a template with packages, add-on services and term. The client signs directly on screen, drawn by hand with a finger, mouse or stylus, via an online link or on site, including several contracts with one link. In addition, Armiflow stores name, time, IP address, browser, consents and a SHA-256 checksum as evidence.

In Austria, marketing emails under § 174 TKG 2021 usually require prior consent, including those to companies. Other countries have their own rules. Armiflow stores consent per channel with its legal basis, adds an unsubscribe link and keeps a block list. With a CRM for transport companies, the legal assessment remains your responsibility.

Yes. Scheduled AI agents search daily, weekly or monthly, also for several locations, and prepare analysis, report and draft. The revenue autopilot finds new companies overnight with changing industries. Automatic sending is off by default and needs a separate approval confirmed with your password. This way your CRM for transport companies keeps working even in busy weeks.

Dunning sends the first and second reminder, optionally with fees. Clients can pay online via Stripe by card, SEPA direct debit or payment link, or alternatively via Global Payments. In the dashboard you see open amounts. In a CRM for transport companies, a clean flow of incoming payments matters as much as new orders.

After signing up for the 14-day free trial, you choose the transport industry template, team size and goals in the setup assistant. This creates a personal starter plan. Then you import existing clients via CSV or XLSX or search for your first shippers. This way your CRM for transport companies starts on day one with real data.

More questions from practice

Yes, with client groups. You create groups for retail, manufacturing or individual countries, for example. Each group can have its own senders, signatures, templates and booking link. The map shows where clients and leads cluster, which helps you win new shippers along your routes.

Armiflow reads bank, card, PayPal and Stripe statements, also as PDF, and matches them to incoming invoices, for example for fuel or workshop costs. An AI helper searches your mailboxes for missing invoices every month. Exports are available for BMD NTCS, RZL, DATEV or as CSV based on the Austrian standard chart of accounts.

Yes. With roles and custom roles you decide who sees what. Sales staff only see their own leads, and management keeps the overview. Basic is designed for one user, while in the Pro plan an unlimited number of users work in the same account. Limits may change, and current values are shown on the pricing page.

In the fleet module, every vehicle has a driver, number plate, mileage and type of ownership such as owned, leased or rented. Deadlines for the § 57a KFG inspection, service, end of lease and insurance send reminders 60 days ahead. You record running costs such as leasing, loans, insurance, tax and parking with interval and contract end, which gives the monthly cost per vehicle, plus tyre sets with DOT, tread and storage and the service history.

Yes. In the client portal, clients sign in via magic link without a password, optionally with two-factor sign-in. They see orders, invoices, contracts and tickets. The portal does not offer shipment tracking; it is about the commercial documents. Queries come in as a ticket via the portal or by email.

Armiflow AI works with all features in the chat. You ask, for example, which wholesalers nearby have not yet been contacted, or have it translate a quote template. Actions involving clients, money, deletion or approvals wait for your confirmation. This turns the software for haulage companies into an assistant in your office.

Yes. Armiflow connects CRM and ERP systems such as HubSpot, Pipedrive, Salesforce, Odoo or SAP Business One and links to further tools via webhooks, Zapier, Make and n8n. The REST API is included in the Basic and Pro plans. Your existing dispatch system stays untouched.

Current prices are shown on the pricing page and displayed live from the app. You can try Basic and Pro free for 14 days, bookable monthly or yearly, without a minimum term and without a setup fee. Basic includes all features for one user with 50 active clients, while Pro has no limits. Limits may change, and current values are shown on the pricing page.
