Fleet · new
Armiflow’s fleet management software is new: vehicles with driver, number plate and ownership type, deadlines for the Pickerl inspection, service, lease end and insurance with a reminder 60 days ahead, a log for fuel, service, repairs and fines, plus running costs, tyre sets and service history per vehicle. All on the same platform as tasks, bookkeeping and rental.
Owned, leased, rented4 deadline typesReminder 60 days aheadMonthly costs per vehicle
The new fleet module manages company vehicles with driver, number plate, make, model, VIN, mileage and photo, plus ownership, lease or rental with lease rate. Armiflow flags deadlines for the Pickerl inspection under § 57a KFG (Austria’s periodic vehicle inspection), service, lease end and insurance 60 days ahead, and one click turns them into a task. A vehicle log records fuel, repairs, damage, fines and tolls. Running costs with their billing cycle give the monthly costs per vehicle, alongside tyre sets and service history.
Vehicles
Every vehicle gets a data sheet in Armiflow with number plate, make and model, vehicle identification number (VIN), current mileage and photo. You assign the responsible driver directly, so it is clear who is in charge of which vehicle.
You record the ownership type: owned, leased or rented. For leasing, you store the lease rate and the lease end so the deadline shows up in good time.
Deadlines
The fleet management software knows four deadline types and flags each of them 60 days before the date.
Store dates for the Pickerl inspection (§ 57a KFG), service, lease end and insurance on the vehicle.
Armiflow reminds you 60 days before each deadline, leaving enough time for the garage or negotiations.
One click turns the reminder into a task with a due date for the responsible person.
Record the service or inspection in the log and set the next deadline.
Vehicle log
The vehicle log in Armiflow is a log per vehicle: it records events and costs, not every single journey. It is not intended as a tax-compliant mileage logbook with details of every trip.
| Category | Typical entries |
|---|---|
| Fuel | Refuelling with costs; the module also shows average consumption |
| Service and repair | Maintenance and garage invoices |
| Tyres | Tyre changes and tyre costs; you also manage tyre sets on the vehicle |
| Damage | Damage to the vehicle with costs |
| Fines | Parking tickets and administrative fines |
| Tolls | Toll costs, such as a motorway vignette or route tolls |
Costs
Every log entry carries its costs. From these, the fleet management software shows costs per vehicle and per type, for example how much a car has cost for fuel, repairs or fines. On top of that comes average consumption per vehicle.
Driver assignment and fines are personal data. Their processing is subject to the rules of the General Data Protection Regulation (GDPR, EUR-Lex); roles and two-factor authentication control who sees them.
Not yet available are GPS tracking and telematics (planned, with no provider decided; GPS exists only as a cost item) and driving licence checks.
Costs, tyres, service
What a vehicle costs each month and when it next needs to go to the garage, you see directly on the data sheet.
Leasing, loan, liability, comprehensive cover, tax, GPS fee, parking, motoring club and maintenance with billing cycle, contract end and documents, giving the monthly costs.
Summer, winter or all-season with DOT, tread depth, storage and reminders.
All services of a vehicle over time, plus the next service due.

The fleet management software is the new Fleet module in Armiflow. It manages company vehicles with driver, number plate and ownership type, reminds you of deadlines for the Pickerl inspection, service, lease end and insurance, and keeps a log with costs per vehicle. You find it in the Fleet menu, on the same platform as tasks and bookkeeping.
The module suits small and medium-sized businesses with owned, leased or rented vehicles, such as trades, service providers, transport companies or rental businesses. If you currently keep deadlines in a calendar and costs in spreadsheets, the fleet management software brings everything into one place. The module does not offer GPS tracking or telematics.
To manage company vehicles, you create each vehicle with number plate, make, model, VIN, mileage, photo and driver. Then add the ownership type – owned, leased or rented – with the lease rate. Deadlines and log entries are attached directly to the vehicle, so the fleet management software shows every car completely on one data sheet.
For the vehicle inspection reminder, you enter the date of the periodic inspection under § 57a KFG, known in Austria as the Pickerl, on the vehicle. Armiflow flags the deadline 60 days ahead, and one click turns it into a task with a due date. This leaves enough time to book a garage appointment before the inspection sticker expires.
The fleet management software knows four deadline types: the Pickerl inspection under § 57a KFG, service, lease end and insurance. For each deadline, you receive a reminder 60 days ahead. One click turns any reminder into a task that you assign to yourself or a colleague. The product description does not currently list any further deadline types.
The digital vehicle log in Armiflow is a log of events and costs such as fuel, service, repair, tyres, damage, fines and tolls. It does not record every single trip with purpose and route. It is therefore not intended as a tax-compliant mileage logbook. Clarify the requirements that apply to you with your tax adviser.
To track vehicle costs, you create log entries per vehicle with a category and amount, such as fuel, repair or tolls. From these, the fleet management software shows costs per vehicle and per type, plus average consumption. Running costs with their billing cycle complete the picture as monthly costs per vehicle. This shows which vehicles are getting expensive and where a replacement might pay off.
You choose between owned, leased and rented. For leasing, you enter the lease rate and set the lease end as a deadline, which Armiflow reminds you of 60 days ahead. This gives you time to decide on an extension, return or a new vehicle, instead of coming under pressure shortly before the lease expires.
The fleet management software covers vehicles, deadlines, log, running costs, tyre sets and service history, but some things are missing. GPS tracking and telematics are not available; they are planned, but no provider has been decided. There are no driving licence checks either. If you need these functions today, take this into account and add a specialised system if necessary.
If you rent out vehicles with the rental module, the mileage from the handover and return report flows automatically into the fleet module. The fleet management software thus knows the current status without anyone retyping figures. Deadlines such as the Pickerl inspection and service apply to rental vehicles just as they do to company cars.
Each vehicle has a number plate, make, model, vehicle identification number (VIN), mileage and a photo. Added to this are the responsible driver, the ownership type and, for leasing, the lease rate. Deadlines and log entries are also attached to the vehicle. So you find all details about a car in one place instead of spread across folders and spreadsheets.
Yes. You assign a driver to each vehicle so it is clear who uses the car and who is the contact person for service or fines. If the vehicle changes hands, you update the assignment on the data sheet. Because this is personal data, roles in Armiflow control who may see the assignment.
Yes. The fleet management software keeps a service history for each vehicle with all completed maintenance and shows the next service due. Together with the service deadline and the reminder 60 days ahead, you see at a glance when a car was last at the garage and when it needs to go back.
The deadline becomes a task in Armiflow with a due date. Tasks have a priority, can be assigned to one or more people and appear in their task list. This way, for example, the next inspection lands with the person who books the garage appointment, instead of in a note that nobody reads.
The vehicle log has the categories fuel, service, repair, tyres, damage, fines and tolls. Every entry has an amount, so costs can be analysed by vehicle and type. The categories cover a vehicle’s running expenses, from a tank of fuel to a parking ticket, and make cost drivers visible quickly.
The fleet management software shows average consumption per vehicle based on your entries in the vehicle log, mainly from the fuel category. The more completely and regularly you record refuelling, the more meaningful the value. A noticeably rising consumption can be a sign of a service being due or a different driving style.
Yes. Fines and tolls are separate categories in the vehicle log. You record the amount on the vehicle concerned and later see which costs have been incurred there. Through the driver assignment, you know who usually uses the car. How you handle fines internally is up to you and your company policy.
Yes. For each vehicle, you manage tyre sets for summer, winter or all-season with DOT number, tread depth and whether the set is in storage. Reminders help you change tyres in good time. You also record tyre changes and tyre costs in the vehicle log under tyres, so the fleet management software shows tyre costs per vehicle too.
Yes. You store running costs such as leasing, loan, liability, comprehensive cover, tax, GPS fee, parking, motoring club and maintenance for each vehicle with billing cycle, contract end and documents. Armiflow calculates the monthly costs per vehicle from these. You continue to post the receipts themselves in Armiflow’s bookkeeping, which offers an export for BMD, RZL and DATEV.
No. GPS and telematics are planned for the fleet management software, but no provider has been chosen and no date has been promised. Armiflow therefore does not record location, routes or driving behaviour. If you need tracking, use a separate telematics system alongside Armiflow for the time being.
No, the module has no driving licence check. If you check your drivers’ licences regularly, you continue to organise this yourself. A recurring task in Armiflow can remind you, for example once every six months. The module does not keep a record proving that the check has been carried out.
In Austria, § 57a KFG governs the periodic inspection of vehicles, colloquially known as the Pickerl. When the inspection is due depends on the vehicle and its age. In Armiflow, you enter the date on the vehicle and receive a reminder 60 days ahead. You check the deadlines themselves against your vehicle documents.
Yes. The lease end is one of the four deadline types. Armiflow reminds you 60 days ahead so you can decide in good time on return, extension or purchase and obtain quotes for a successor vehicle. Together with the stored lease rate, you see what the vehicle has cost you so far.
Insurance is a separate deadline type for each vehicle. You enter the date, such as the main renewal date, and Armiflow flags it 60 days ahead. This leaves time to compare terms or talk to your broker. You store the premium for liability or comprehensive cover as running costs with billing cycle and contract end.
The module has its own menu item called Fleet. There you see the vehicle list, open individual data sheets and enter deadlines and log entries. Fleet management is one of the functions in Basic and Pro, and you can try both packages free for 14 days. You find the details on the pricing page.
You control who sees which data through roles in Armiflow. For example, dispatch can maintain deadlines and mileage, while cost analyses are open only to management. Two-factor authentication additionally protects the accounts. This matters because driver assignments and fines are personal data under the GDPR.
Every customer account has a separate database schema, credentials are stored encrypted, and there are daily backups. Two-factor authentication and roles control access in the fleet management software. You handle data access and erasure requests under GDPR Art. 15 and 17 directly from the CRM, without extra tools.
The costs in the vehicle log are used for analysis per vehicle. You post the related receipts, such as fuel or garage invoices, in Armiflow’s bookkeeping. There you assign receipts and export them for BMD, RZL or DATEV. The product information does not describe an automatic link between log entry and posting.
Yes. Small businesses in particular easily forget deadlines because nobody looks after the fleet full time. Even with two or three vehicles, the reminder 60 days ahead ensures that the Pickerl inspection, service and insurance do not slip through. The cost overview also shows early when a vehicle is becoming uneconomical.
You enter the mileage on the vehicle’s data sheet and update it there, for example after a service. If you also use the rental module, Armiflow takes the mileage automatically from the handover and return report. There is no automatic transfer from the vehicle via telematics at present.
