Bookkeeping

Bookkeeping software for small business, ready for your tax adviser.

Armiflow is bookkeeping software for small business that matches receipts automatically: the AI reads bank, card, PayPal and Stripe statements, including PDFs, and matches the payments to your purchase invoices. A monthly AI helper searches your mailboxes for missing invoices. Armiflow does the preparation; the bookkeeping itself stays with your tax adviser.

How does Armiflow help with bookkeeping?

As bookkeeping software for small business, Armiflow prepares your books for your tax adviser. The AI reads bank, card, PayPal and Stripe statements and matches payments to purchase invoices. A monthly AI helper searches your mailboxes for missing invoices and files them in Google Drive. At month end, a checklist, an email with VAT figures and an export for BMD, RZL, DATEV or CSV help you hand over.

Export

BMD export, RZL export and DATEV export

The exports are based on the Austrian standard chart of accounts (Einheitskontenrahmen). Armiflow checks sales invoices against § 11 of the Austrian VAT Act (RIS), and the month’s VAT figures are emailed to your tax adviser.

FAQ

Questions and answers

Short, clear answers about this feature. Missing a question? Write to support@armiflow.com.

The AI reads your bank, card, PayPal and Stripe statements, including PDFs, and compares the payments with your purchase invoices. Matching pairs are linked automatically. You no longer have to hunt for receipts line by line; you review the result and only deal with the open cases that still need a document.

No. Armiflow prepares your books for your tax adviser; it does not replace them. You can match receipts automatically, find missing invoices and hand over the month cleanly. Postings, tax returns and the balance sheet stay with your tax adviser, who receives an export and an email with the month’s VAT figures.

No. Armiflow is not complete accounting or balance sheet software. As bookkeeping software for small business, its bookkeeping area prepares your records: import statements, match receipts, close gaps and hand over to your tax adviser. For annual accounts and the balance sheet, your accounting firm keeps using its own programs, such as BMD, RZL or DATEV.

Armiflow processes bank, card, PayPal and Stripe statements. If they are PDFs, the AI extracts the transaction lines. The receipts can then be matched automatically, linking each payment to the right purchase invoice. This shows you quickly which payments still need a receipt before the month is handed over.

Once a month, the AI helper searches your mailboxes for invoices that are still missing and files them in Google Drive. These are often invoices from online services that only arrive by email. That way these receipts can also be matched automatically before the month is closed and handed over to your tax adviser.

Armiflow creates an export for BMD NTCS and BMD Online, which are widely used by accounting firms in Austria. It is based on the Austrian standard chart of accounts. Your tax adviser imports the prepared data into their program instead of typing receipts one by one. Ask them beforehand which format they prefer.

Yes. Besides BMD, Armiflow’s bookkeeping software for small business offers an RZL export for accounting firms that work with RZL. This export is also based on the Austrian standard chart of accounts. You match receipts automatically in Armiflow, close the month and hand the data over to your tax adviser in the right format.

Yes. For tax advisers who work with DATEV, for example in Germany, there is a DATEV export. This is useful when your company and your accounting firm are used to different programs. A CSV export is also available if another program needs to import the prepared data or you want to run your own analysis.

Armiflow is made by Kodlogy Technologies GmbH in Vienna. If you are looking for bookkeeping software for small business in Austria, you will find the standard chart of accounts, BMD and RZL export, invoice checks under § 11 UStG and cash registers under RKSV. The bookkeeping area remains preparation for your tax adviser, not complete balance sheet software.

Armiflow guides you through a month-end checklist. Then an email goes to your tax adviser with the month’s VAT figures, along with the export for BMD, RZL, DATEV or as CSV. Because you match receipts automatically beforehand, payments and purchase invoices are already linked when the documents arrive at the accounting firm.

More questions from practice

The month-end checklist helps you close the month in an orderly way before documents go to your tax adviser. Instead of working from memory, you tick off the items one by one. Combined with automatic receipt matching in the bookkeeping software for small business, month end becomes predictable and far less hectic.

The monthly AI helper files missing invoices it finds in your mailboxes in Google Drive. This keeps receipts together in one place instead of scattered across many emails. They are then ready to be matched to your payments and included in the month-end close, so your tax adviser receives a complete set of documents.

Yes. PayPal statements are among the supported sources, as are bank, card and Stripe statements. With PayPal in particular, the matching invoices are often missing because they only arrive by email. Armiflow can match these receipts automatically, and the AI helper searches your mailboxes for missing invoices every month.

Stripe statements are among the supported sources. Armiflow imports them and matches the transactions to the right purchase invoices. If you also let customers pay your sales invoices online through Armiflow with your own Stripe account, invoices and payments sit in the same system and keeping track becomes much easier.

No. The AI reads statements in PDF format and picks up the transaction lines. Instead of typing amounts, you let the bookkeeping software for small business match receipts automatically and review the result. This saves time above all with many small payments, such as card or PayPal transactions that would otherwise have to be found one by one.

The email to your tax adviser contains the month’s VAT figures. You also provide the export for BMD, RZL, DATEV or as CSV. That way the accounting firm has the key figures to hand straight away and does not need to ask whether the month has been fully prepared before starting work.

The Einheitskontenrahmen is a common account structure in Austrian bookkeeping that many accounting firms and programs follow. Armiflow’s exports are based on it, which matters for businesses in Austria. As a result, the BMD export, RZL export and CSV fit better with what your tax adviser is already used to working with.

You write sales invoices in Armiflow with checks under § 11 UStG, gapless numbers and cancellation instead of editing. Statements and purchase invoices are handled in the bookkeeping area. Both sides of your business sit in one bookkeeping software for small business before everything goes to your tax adviser together.

For cash registers under the Austrian RKSV, Armiflow works with helloCash and ready2order. The register itself runs in those systems. Armiflow complements this with invoices, payments and preparation for your tax adviser, so the cash register and your other receipts do not live in completely separate worlds.

Yes. Armiflow offers integrations with QuickBooks, Xero, lexoffice and sevDesk, as well as webhooks, Zapier, Make and n8n. If you already use one of these programs, you can add Armiflow for sales, invoicing and preparation. For tax advisers in Austria, BMD and RZL exports are available as well.

It suits SMEs, agencies and service providers whose bookkeeping is done by a tax adviser and who want to hand over the month without paper chaos. Businesses with many online payments by card, PayPal or Stripe benefit most from bookkeeping software for small business that matches receipts automatically. The actual postings stay with the accounting firm.

Armiflow matches payments automatically to the right purchase invoices. You should still review the results before the month goes to your tax adviser, because amounts, names and dates on receipts are not always clear. Automatic matching saves you the searching while you stay in control of what is handed over.

Armiflow AI works in the chat with all features of the system on behalf of the signed-in user, so you can use the assistant to prepare the month as well. Actions involving money, deletion or settings always wait for your confirmation in the chat, so nothing happens without your approval.

With roles and custom roles you decide in Armiflow who has access to what. For example, sales staff can work with leads while statements and invoices remain reserved for authorised people. Two-factor authentication adds further protection, keeping accounts safe from unauthorised access by anyone outside your team.

In Armiflow, each company has a separate database schema, access credentials are stored encrypted, and there are daily backups. Two-factor authentication and roles protect access, which matters for any bookkeeping software for small business. Found invoices are stored in your Google Drive. Details on the processing of personal data are in the privacy policy.

For sales invoices, Armiflow supports tax rates, the small business exemption and reverse charge, and checks invoices against § 11 UStG. The tax assessment of your purchase invoices and your VAT remains your tax adviser’s job. Armiflow supplies them with the prepared data and the month’s VAT figures.

Because hunting for receipts often takes the most time. When you let bookkeeping software for small business match receipts automatically, Armiflow links payments and purchase invoices, and the AI helper finds missing invoices in your mailboxes. Your tax adviser receives more complete records, and questions at month end can be reduced.

Then the monthly AI helper steps in: it searches your mailboxes for the missing invoice and files it in Google Drive. If an invoice still cannot be found, request it from the supplier before the documents go to your tax adviser. That way the month is handed over complete and without open questions.

The monthly AI helper files found invoices in Google Drive, so a connection with Google Drive makes sense. Importing statements, matching, the checklist and the export for BMD, RZL, DATEV or CSV are part of Armiflow’s own bookkeeping area and work within the bookkeeping software for small business itself.
