FAQ
Short, clear answers about this feature. Missing a question? Write to support@armiflow.com.
A CRM for small business keeps contacts, notes, tasks and history together and reminds you about follow-ups. In Excel it is easy to lose track of who said what and when. Armiflow also connects the CRM with company search, email, contracts and invoicing, so no data gets lost between spreadsheets and mailboxes.
Yes. The company profile shows everything important on one page, and follow-up tasks tell you what needs doing today. When you start, the setup assistant creates a personal plan based on your industry, team and goals, so you can get going without lengthy training. That is exactly what a CRM for small business without its own IT department needs.
Yes. Armiflow is developed by Kodlogy Technologies GmbH in Vienna. If you want CRM software for Austria or the DACH region, you get a system that knows Austrian requirements such as TKG § 174, the VAT Act (UStG) and RKSV, and offers exports for BMD and RZL. The interface is also available in English, Turkish and French.
In a CRM with AI, Armiflow AI works with your data: the assistant finds leads, prepares emails and plans tasks in the chat. Actions involving clients, money, deletion or approvals always wait for your confirmation. This way the CRM for small business saves time without you giving up control over what happens.
For every contact, Armiflow stores consent separately per channel, meaning email, WhatsApp and phone, each with its legal basis. Newsletters and campaigns take this into account automatically, and the recipient filter shows why someone has been excluded. This gives you proof at hand at any time in your CRM for small business.
Yes. Basic is for one user, while in Pro an unlimited number of users work in the same account. With roles and custom roles you decide who sees what. Sales staff only see their own leads, and management keeps the overview. This way the CRM for small business grows with your team, from sole trader to sales department.
In both plans the number of companies is unlimited. Basic, designed for freelancers and sole traders, limits active clients to 50 and new leads to 1,000 per month. Pro has no limits and suits teams and agencies. The CRM for small business grows with you, and current values are shown on the pricing page.
Yes. Companies can be imported from CSV and XLSX files, and duplicates are merged automatically. If you are coming from WHMCS, you first run a dry run without writing and then the full import: client groups are carried over, old invoices, quotes and emails land in the client’s archive tab, and a reconciliation checks counts, totals and client status.
Yes. Armiflow offers connections to HubSpot, Pipedrive, Salesforce, Zoho, Dynamics 365, monday, Close, Freshsales, ActiveCampaign, Odoo and SAP Business One, as well as webhooks, Zapier, Make and n8n. This lets you use company search and website analysis in Armiflow even if your team wants to keep another CRM.
Leads are companies you are in conversation with. As soon as a company buys, it becomes a client in your client records, which are kept separate from the leads. From there, quotes, orders, invoices and the client portal run. This separation keeps your prospecting list clear and your bookkeeping clean.
The field history shows when a value in the company profile changed, such as an address or phone number. This makes it clear which detail is current and who changed it. Especially when several people work in the CRM for small business, this avoids follow-up questions and duplicate work.
For every company you create tasks with a due date, such as a callback or a quote that needs chasing. Armiflow shows you what is due today. The CRM for small business thus becomes your daily to-do list, and no promised callback gets lost in the rush of everyday work.
Client groups bundle companies, for example by industry or region. Each group gets its own colour, a group column shows it in the list, and you can filter across several groups at once. Each group can also have its own senders, signatures, templates and booking link, which is handy for businesses with several brands.
The map shows all companies geographically. Regional providers can see where leads cluster and plan visits or campaigns for an area. This is particularly practical for trades and service businesses, because a CRM for small business should also show you which clients are nearby.
The dashboard shows the key figures of your sales with a 12-week trend. This lets you see whether your prospecting is growing or whether you need to step it up. Instead of laboriously gathering numbers from spreadsheets, you see the development in your CRM for small business at a glance.
Yes. With bulk actions you change many companies at once, for example assigning a client group or starting a campaign. This saves a lot of clicking, especially after an import or a large company search. A simple CRM has to make large lists quick and easy to handle as well.
Yes. The CRM offers an export of your data, so your contacts remain your contacts. Via CRM connections, webhooks and the REST API in Basic and Pro, you can also transfer data directly into other systems. This means you are not locked in and can combine Armiflow with existing programs.
Every client has a separate database schema, access credentials are stored encrypted, and there are daily backups. Two-factor sign-in and roles protect access within the team. This means the CRM for small business meets requirements that are otherwise often only found in large enterprise systems.
Yes. You handle requests under GDPR Art. 15 and 17 directly from the CRM. This lets you show a data subject which data is stored and delete it on request. Together with consent per channel and the block list, you have the most important data protection obligations covered in one system.
New leads arrive via the company search with several data sources such as OpenStreetMap or Google Places, via CSV or XLSX import, or from business directories, where only structured data is taken and robots.txt is respected. Duplicates are merged automatically, unclear cases go to a review list, and the public authority protection filters out offices, courts and police.
A CRM provider from Austria knows the local rules, such as TKG § 174 for marketing emails, UStG § 11 for invoices and RKSV for cash registers. Armiflow builds these rules in instead of leaving them to you. On top of that come exports for BMD and RZL and the Austrian standard chart of accounts for your accountant.
Yes. Armiflow AI works with all features on behalf of the signed-in user. You ask, for example, which companies need a follow-up this week, and the assistant shows them. Via the MCP server this also works from Claude or ChatGPT. This turns the CRM with AI into a conversation partner rather than an input form.
A native app for iOS and Android is in development and coming soon. Until then, Armiflow works in the browser on your smartphone, so you can reach your CRM for small business on the go as well. The app’s features and release date have not yet been fixed, and we will announce them once confirmed.
The interface is available in German, English, Turkish and French. Each user can choose their own language, which is practical for mixed teams. The AI also writes email drafts in the language of each company, regardless of which language you have set for yourself in the interface.
Yes, with the separately bookable agency and white-label plugin. You use your own domain via CNAME with a DNS check, the SSL certificate is issued automatically through Let’s Encrypt, and your own logo appears in the interface, with a “Powered by Armiflow” note at the bottom. This is attractive for agencies that want to offer clients their own CRM.
A lead becomes a client with a quote, order and invoice. Invoices are checked against § 11 UStG, the Austrian VAT Act, and can be paid online via Stripe. Everything stays linked to the company profile. In your CRM for small business you can therefore see at a glance which client bought and paid for what.
Yes. Duplicate companies are merged automatically, for example when the same company comes from two data sources. Unclear cases go to a review list so you can decide yourself. If a lead is already a client, you merge it with the existing client, and only the admin may delete a lead permanently. This keeps your records clean and stops anyone receiving the same email twice.
After signing up for the 14-day free trial, the setup assistant creates a starter plan with industry templates, for example for hospitality, trades, beauty, transport, real estate or tourism. Then you import or search for your first companies. A simple CRM should work exactly like this: answer a few questions and work with real data right away.
Yes. The CRM is included in Basic and Pro, together with company search, website analysis and email. Basic suits freelancers with one user and 50 active clients, while Pro suits teams without limits. You can try both plans free for 14 days and book them monthly or yearly, so you can test the CRM for small business without time pressure.
The public authority protection is active by default. Public offices, courts and police are neither stored nor contacted, even if they appear in a search. It is based on ready-made lists for Austria, Germany, Switzerland, Liechtenstein, Turkey and the EU, which you can extend with your own entries.
