Yes. Every renter becomes a customer in Armiflow with the tag “Rental”. Matching runs via the email address so no duplicates are created when someone rents a second time. You upload driving licence details and documents such as driving licence, ID and registration certificate directly to the customer. This way the car rental software keeps all renter data in one place.

You store vehicle descriptions in German, English, Turkish and French. This helps if you serve guests from several countries and want to pass on descriptions in their language. On the public booking page, which you embed via the WordPress plugin, vehicle cards and vehicle pages appear with gallery, equipment and extras for every guest.

Armiflow comes with catalogues of more than 70 equipment features and extras, which you manage and extend yourself. You charge extras per day, one-off or as included, depending on how you offer each extra. For each vehicle, you select what is on board and what the renter can book in addition to the base rental.

For each vehicle, you record whether fully comprehensive cover applies, how high the excess is and which breakdown cover applies, such as ÖAMTC, ARBÖ or ADAC. That way the details are at hand for every request. You take out the insurance itself with your insurer as before; Armiflow only stores the details for your team.

Besides the daily rate, you set seasons with their own prices, such as high season in summer, and special prices for individual periods. Seasons, special prices and blocked days can repeat annually, including over New Year. Public holidays for Austria, Germany and Switzerland, including long weekends and bridge days, are built in. Minimum rental days prevent rentals that are too short in busy weeks.

Armiflow keeps the deposit separate from the rent. The renter chooses bank transfer or a credit card guarantee via Stripe: the card is stored with their consent and can later be charged up to the deposit amount. Alternatively, your staff record cash or debit card, and a short link goes out by email or WhatsApp. Release or refund after return is logged with who and when. The down payment remains a percentage.

With five cancellation tiers, you define which share is due depending on how short-notice a renter cancels. A typical setup is a low tier well before the rental starts and a high tier shortly before it. The exact conditions also belong in your general rental terms, so that renters know them before they book with you.

The vehicle calendar shows vehicles in rows and days in columns. You see bookings, requests and blocked days side by side and spot free periods immediately. For dispatching and phone enquiries, this is the fastest overview in the car rental software of which vehicles are free when and where a handover coincides with a return.

Yes. Bookings can be synchronised with Google Calendar so they are also visible in your team’s Google Calendar and nobody has to maintain two calendars in parallel. The leading plan remains the vehicle calendar in the car rental software with its conflict check, so availability is always calculated in one place.

Via the online link, the renter enters the drivers themselves, up to three people. Date of birth and driving licence number are mandatory fields. They then sign the agreement. This saves you retyping the data and avoids typing errors at the counter. Nevertheless, check the original driving licence and ID at handover.

The renter signs by hand with a finger, mouse or stylus directly on screen, via an online link or on site. In addition, Armiflow stores the time and IP address as evidence, and the signed rental agreement is then available as a PDF. This makes it verifiable who signed when. For contracts with statutory form requirements, a qualified electronic signature may also be required.

For a car, the report requires eight exterior views from fixed angles including the number plate, plus photos of the speedometer and cockpit. Example sketches in 3/4 perspective show from which angle each photo should be taken. Up to five additional photos are also possible. This documents condition and mileage comparably at handover and return.

You mark damage directly on the vehicle sketch and attach three to five photos and a description. Because the handover is also documented with mandatory photos from the same angles, you can compare whether damage is new. Both sides sign the report, which is saved as a PDF and stays linked to the booking.

Besides photos, the return report contains mileage, fuel, AdBlue, oil and, for motorhomes, gas and water. Added to this are a checklist, the cleaning condition, whether the deposit was received or returned, a copy of the ID and the signatures of both sides. At the end, Armiflow generates a report PDF for your records.

Yes. The public online booking is live and embedded into your website via a WordPress plugin. Guests filter by date, car or camper, type, seats, beds, transmission, price and equipment, open the vehicle page with gallery, availability calendar, extras and live price, and send a booking request. Team and customer receive an email, and the vehicle cards are readable by search engines.

Not at present. An invoice created directly from the booking is not yet available in the car rental software. You create invoices in Armiflow’s invoicing module, which checks against § 11 UStG (the Austrian VAT Act), numbers gaplessly and uses cancellation instead of editing. There you select the renter from your client records.

No. Interfaces to rental platforms and booking portals are not available at present. You enter bookings from there yourself so the vehicle calendar and conflict check are complete. If you have many platform bookings, plan for this step. Armiflow also does not offer GPS tracking of rental vehicles.

Yes. Armiflow creates template rental terms in one step, which you attach to the rental agreement as general rental conditions. This is a starting point, not legal advice: adapt the terms to your offer, such as deposit, cancellation tiers and pet rules, and have them legally reviewed if in doubt. You remain responsible for the content yourself.

The mileage from the handover and return report flows automatically into the fleet module. There you maintain deadlines such as the Pickerl inspection, service and insurance, as well as running costs, tyre sets and service history for each vehicle. This way your fleet management knows the current status without anyone retyping figures after every rental.

Every customer account in Armiflow has a separate database schema, credentials are stored encrypted, and there are daily backups. Two-factor authentication and roles control who sees renter data, driving licence numbers and ID copies in the car rental software. You handle data access and erasure requests under GDPR Art. 15 and 17 directly in the CRM.
