How does Armiflow work with your appointment booking tool?

Armiflow syncs bookings with Calendly: as soon as a company books a meeting, the follow-ups of its campaign stop automatically. For TidyCal, Cal.com and Google appointment pages you insert booking links. Meetings land in your Google or Microsoft 365 calendar, with a Zoom, Teams or Meet link. Each client group can have its own booking link.

The contact picks a free slot, for example via Calendly.

Step 3

Follow-ups stop

Armiflow detects the booking and ends the campaign’s follow-ups.

Step 4

Questions and answers

An appointment booking tool lets clients pick a free slot themselves instead of emailing back and forth. Well-known examples are Calendly, TidyCal, Cal.com or Google appointment pages. Armiflow does not replace these tools but connects them with your sales, your campaigns and your calendar, so booking becomes part of your process.

Armiflow syncs bookings with Calendly, so a booking automatically stops the follow-ups. For TidyCal, Cal.com and Google appointment pages, you insert booking links into your emails. This way you keep using the appointment booking tool you already know and do not have to switch to something new.

Yes. When a company books a meeting via Calendly, Armiflow detects the booking and automatically stops the follow-ups of the running campaign. The company therefore no longer receives reminders even though it already has a meeting. A reply to the email also ends the follow-ups, so nobody is chased unnecessarily.

Yes. Clients can book appointments online via the booking link in your email. Behind it is your own booking tool, such as Calendly, TidyCal, Cal.com or a Google appointment page. With Calendly, the sync ensures that Armiflow knows about the booking and ends follow-ups automatically without any manual step.

Yes. Armiflow adds meetings to your Google or Microsoft 365 calendar. You see all conversations where you already plan your day and do not have to maintain anything twice. For online meetings, Zoom, Teams or Meet links are added so the client can join directly without asking how.

Armiflow supports links for Zoom, Microsoft Teams and Google Meet. The right link belongs to the meeting, so client and team know where the conversation takes place without an extra email. You decide which tool to use, depending on what your clients prefer to work with.

Yes. In Armiflow each client group has its own booking link, alongside its own senders, signatures and templates. This way, requests for different brands, regions or teams land in the right calendar. It keeps your appointment booking tool organised even for companies with several divisions.

Without a sync, a campaign tool does not know that a client has already booked and keeps sending follow-ups. That looks careless. Thanks to the Calendly sync, Armiflow detects the booking and stops the follow-ups automatically. Your appointment booking tool and your prospecting therefore work as one system.

The automatic stopping of follow-ups is based on the Calendly sync. For TidyCal, Cal.com and Google appointment pages, Armiflow embeds booking links. If automatic stopping matters to you, Calendly is the right appointment booking tool to choose. A reply to the email ends follow-ups in every case.

Appointment bookings involve processing name, email and time, so the GDPR rules apply. Armiflow supports you with consent per channel, access and erasure under Art. 15 and 17 and separate database schemas. Your external appointment booking tool is additionally subject to its own privacy terms, which you should review as well.

More questions from practice

You store the booking link with the client group, together with its own senders, signatures and templates. The right link is then ready for emails to that group. Nobody in the team has to search for which calendar applies, and every client is offered the right meeting slot automatically.

Yes, for booking pages you use your own account with Calendly, TidyCal, Cal.com or a Google appointment page. Armiflow embeds these pages and connects them with campaigns and your calendar. If you do not have an appointment booking tool yet, Calendly is the best choice, because bookings then stop follow-ups automatically.

Yes. Meetings can be added to your Microsoft 365 calendar, with a Teams link for online conversations. Companies that work with Google use the Google calendar and Google Meet instead. Both options are equally available, depending on what your team already uses every day.

Yes. Via the MCP server, Armiflow can be connected to AI tools such as Claude, and appointments are among the features available via chat. Armiflow AI in the app also works with all features. Actions involving clients always wait for your confirmation before anything happens.

A booked meeting is the clearest signal of genuine interest. Armiflow responds by stopping the follow-ups so the client is no longer bothered with reminders. After that the conversation continues, and ideally the lead becomes a client with a quote and contract, all tracked in the same company profile.

After the conversation, things continue seamlessly in Armiflow: the lead becomes a client in your client records, you create a quote, conclude a contract with e-signature and issue the invoice. Everything stays linked to the company profile, so the whole story remains traceable from first contact to payment.

Yes. In trades and service businesses especially, arranging appointments costs a lot of time on the phone. When clients book appointments online and Armiflow then stops the follow-ups, more time is left for the actual work. The setup assistant also offers industry templates, for example for trades or beauty.

Yes. Via client groups you store different booking links, for example for individual teams, regions or brands. This way every request lands in the right calendar. With roles you also decide who in the team sees which leads, because sales staff only see their own leads and meetings.

Armiflow syncs bookings made via Calendly so that follow-ups stop. The company profile in the CRM brings together contacts, notes, timeline and follow-up tasks. This helps you keep track of which company you are currently talking to and what happens next after the meeting.

Cancelling and rescheduling are handled by your appointment booking tool, for example Calendly, TidyCal or Cal.com. These tools have their own features for this. Armiflow takes care of the part that concerns sales: syncing bookings, stopping follow-ups and adding meetings to your calendar.

Google appointment pages are part of Google Calendar, whereas Calendly is a standalone booking tool. In Armiflow you can embed booking links for both. The difference: with Calendly, Armiflow syncs bookings and stops follow-ups automatically. Choose the appointment booking tool that suits your everyday work.

Yes. Each client group has its own templates and its own booking link, so both match. Your prospecting email then contains the meeting invitation without you having to look for the link each time. Because the link belongs to the client group, it also fits when you look after several brands or regions.

With a Zoom, Teams or Meet link the client knows immediately how to join the conversation. This saves follow-up questions and prevents a meeting from falling through because dial-in details are missing. In the DACH region, where many first conversations take place online, this is a small but important convenience.

The native app for iOS and Android is in development and coming soon. Which features it will include has not yet been decided. Until then, you see your meetings as usual in your Google or Microsoft 365 calendar on your smartphone and use Armiflow in the browser on any device.

You store your tool’s booking link with the client group and connect your calendar. The link is then ready in your emails. When you start, the setup assistant guides you through the most important steps and creates a personal starter plan based on your industry, team and goals.

Yes. In B2B, time is scarce, and long email chains to find a slot slow everything down. An appointment booking tool lets the company choose for itself. Combined with Armiflow, this becomes a complete flow: email with link, booking, stopped follow-ups and a calendar entry with a video link.

Public authorities are never contacted in Armiflow in the first place. The public authority protection is active by default: public offices, courts and police are not stored and therefore never receive prospecting emails with a booking link. The lists cover Austria, Germany, Switzerland, Liechtenstein, Turkey and the EU.

An appointment booking tool on its own knows nothing about your campaigns. Connected to the CRM, Armiflow uses the Calendly sync to see who has booked and stops the follow-ups. The client group supplies the right link. Individual tools are turned into one continuous sales process this way.

Yes. You can include the booking link in any email, for example in replies to existing clients. This lets regular clients book appointments online too. The real advantage of the connection with Armiflow shows mainly in campaigns, though, where a booking stops the follow-ups automatically.
