Everyday work in motorhome rental
In motorhome rental, business comes in waves: in spring and summer, many guests want to set off on similar dates, and Friday pick-ups and Sunday returns follow in quick succession. Seasonal rates, minimum rental days and mileage packages turn every quote into a small calculation.
Handing over a camper involves more than mileage and fuel. Gas bottles, fresh water, fridge, kitchen, bathroom, beds and awning must be checked and documented so that on return it is clear what was already like that before. On top of that come driver details, which must be handled carefully under the GDPR (EUR-Lex).
Outside the season, servicing, the § 57a roadworthiness test (the Austrian “Pickerl”) and insurance are due. Armiflow connects rental and fleet so that bookings, reports and deadlines stay in one system.

You create motorhomes and caravans with equipment, extras and rates, check bookings for conflicts, create the rental agreement as a PDF and document pick-up and return with mandatory photos. The fleet module manages deadlines, logbook and costs.
The vehicle assistant knows over-cab motorhomes, semi-integrated and integrated models, campervans, caravans and pick-up cabins. For each vehicle you record seats, berths, dimensions, weight, driving licence category and tanks as well as rules on pets and smoking. This way the motorhome rental software holds every model with the details your guests ask about before booking.
To help you manage a motorhome rental business, Armiflow replaces spreadsheets and paper calendars with a vehicle calendar showing all campers and days. Enquiries and bookings are checked for availability, and blocked days for the workshop are entered. Rates, deposit and cancellation tiers are stored with the vehicle, and the rental agreement is created from them as a PDF.
The motorhome handover checklist records mileage, fuel, AdBlue, oil as well as gas and water. Besides eight exterior views with number plate, speedometer and cockpit, photos of fridge, kitchen, bathroom, beds, seating area and awning are mandatory. Example sketches in 3/4 view show the photo angles. Only when all mandatory photos are there does the motorhome rental software allow completion. Up to five additional photos are possible.
Besides the daily rate, you create seasons with their own prices, plus special prices and blocked days, recurring yearly if you wish, even across New Year. Public holidays in AT, DE and CH including bridge days are taken into account. Minimum rental days prevent short gap bookings in high season, and long-stay and early-bird discounts reward early or long trips. The motorhome rental software calculates rates per vehicle.
No. The renter receives an online link, enters up to three drivers with date of birth and licence number and signs directly on screen, drawn by hand with a finger, mouse or stylus. Your general rental terms are attached. Alternatively, the renter signs on site on a device. They automatically become a client, where you upload driving licence, ID and registration certificate. Armiflow also stores time and IP address as evidence.
Yes. As campervan rental software, Armiflow is designed for businesses with their own fleet, whether two campervans or many vehicles. You start with one vehicle and add more in the assistant. Because prospecting, CRM, invoices and bookkeeping run in the same system, small businesses do not need any extra programs for administration.
Via the public online booking on your website. A WordPress plugin embeds the booking page and vehicle pages: guests filter by date, type, beds, gearbox and equipment, see gallery, availability calendar, extras and live price and send a booking request, which goes by email to your team and the guest. You record phone enquiries yourself. The motorhome rental software then checks availability and creates the rental agreement and report.
For each vehicle you store free kilometres and the price for extra kilometres. At pick-up and return, the report records the mileage, so the distance driven is documented. The motorhome rental software also transfers the mileage to the fleet module, which helps with service appointments. You create the invoice in the invoices module.
After signing up for the 14-day free trial, you open the rental module and create your campers in the vehicle assistant, with photos, equipment and rates. Then you set rental terms, deposit, cancellation tiers and pick-up and return times; sample terms and conditions for rentals are created in one step. You import existing clients via CSV or XLSX, and the motorhome rental software is ready for the season.

You charge extras per day, once or as included, entirely according to your own extras catalogue. You write vehicle descriptions in German, English, Turkish and French, so international guests also know what is on board.
In the vehicle profile and in the rental agreement. For each vehicle you store insurance details such as fully comprehensive cover, excess and breakdown assistance, for example ÖAMTC, ARBÖ or ADAC. This way guests know how they are covered before the trip. The fleet module manages the insurance deadlines themselves, with a reminder 60 days ahead.
In the report of the motorhome rental software, you mark damage directly on the vehicle sketch and attach three to five photos and a description. Because awning, kitchen, bathroom and seating area are part of the mandatory photos anyway, the condition at handover is documented. Both sides sign, and the report PDF is then available.
Separately from the rent. For the deposit, guests choose bank transfer or a credit card guarantee via Stripe; the card is stored with consent and charged at most up to the deposit amount. Your team records cash or debit card payments. The return report contains a checklist including cleaning, after which you release or refund the deposit, and every step is logged with who and when.
You set pick-up and return times so that there is enough time between two rentals for cleaning and checks. The vehicle calendar shows when each camper comes back and leaves again. Through the sync with Google Calendar, your team sees all handovers in its usual calendar, also on the phone in the browser.
In the fleet module, every vehicle has deadlines for the § 57a KFG inspection, service, end of lease and insurance, with a reminder 60 days ahead. One click turns them into a task. In the log you record refuelling, repairs, tyres and damage, and the costs per vehicle show which camper pays off.
No. Armiflow currently offers no interfaces to external rental platforms and no GPS tracking; GPS is planned, but no provider has been chosen yet. Armiflow is designed for your direct bookings: you manage campers, agreements and reports yourself, while fleet and invoices run in the same system.
With the social media autopilot module, the AI creates posts with images and videos for Instagram, Facebook, TikTok and YouTube, in review mode or automatically. The module is included in Basic and Pro. You also manage Google and Meta Ads from Armiflow, and newsletters go to regular guests with consent as the default.
