Car rental
With Armiflow as your car rental business software, you manage your own fleet, rates and bookings in one system. Customers book online through your website, the rental agreement is signed via a link, you document handover and return with mandatory photos on your phone, and fleet management keeps an eye on deadlines such as the Austrian vehicle inspection (“Pickerl”) or servicing.

Armiflow manages your own rental fleet with vehicle data, photos, extras and rates such as seasonal prices, free kilometres and deposit. Customers book online through your website, and enquiries and bookings are checked for availability and conflicts and shown in the vehicle calendar. The rental agreement is created as a PDF and signed online or on site. The digital handover report with mandatory photos and a damage sketch completes the rental cleanly.
Everyday car rental
In a car rental business, many things happen at once: enquiries come in by phone and email, vehicles are handed over and taken back, and somebody is meant to check whether the estate car is still free next week. Keeping bookings in Excel, paper calendars and folders risks double bookings and follow-up questions.
Every handover is about mileage, fuel, damage and deposit. If a photo or a signature is missing, a later damage claim quickly turns into an argument. On top of that, driver data including driving licence numbers must be handled carefully under the GDPR (EUR-Lex).
And the fleet itself needs looking after: the Austrian “Pickerl” inspection under § 57a KFG, servicing, lease end and insurance all have deadlines that easily get lost in daily business. Armiflow connects rental and fleet management so this information is not scattered across different places.

FAQ
Short, clear answers about this feature. Missing a question? Write to support@armiflow.com.
Armiflow is car rental business software for companies with their own fleet, not a marketplace. You maintain vehicles, extras and rates, accept enquiries and bookings with a conflict check, create the rental agreement as a PDF and document handover and return digitally. Fleet management reminds you of inspections, servicing and insurance. Prospecting, CRM and invoicing run in the same system.
To manage rental cars, you add each vehicle in the assistant: type such as SUV, saloon, convertible, sports car or van, technical data, photos, equipment and insurance details such as comprehensive cover and excess. The vehicle calendar shows vehicles by days, meaning when each car is booked or blocked. The software automatically transfers mileage readings from the reports to fleet management.
Above all, retyping. A digital rental agreement is created as a PDF with vehicle data, up to three drivers, prices and your general rental terms attached. The renter opens an online link, enters the drivers with date of birth and licence number and signs directly on screen, drawn by hand with finger, mouse or stylus. Alternatively, they sign on site on the device. Armiflow also stores the time and IP address as additional evidence.
In the digital return report you mark damage directly on a vehicle sketch, with three to five photos and a description. Mandatory photos from fixed angles are added, including eight exterior views with number plate, speedometer and cockpit, and example sketches in 3/4 perspective show the right angles. The report can only be closed once all mandatory photos are there, so the condition at handover and return can be compared.
With discounts and seasons per vehicle. You set a daily rate, seasons, special prices, blocked days and minimum rental days, recurring annually if you wish, with public holidays in AT, DE and CH taken into account. Free and extra kilometres, long-term and early-booking discounts and a percentage down payment come on top. Extras are charged per day, once or as included. Your car rental business software thus reflects your pricing logic.
Armiflow detects the conflict: every enquiry and every confirmed booking is checked for availability and conflicts before it occupies the vehicle. In the vehicle calendar you see all vehicles and days in one overview, including blocked days for the workshop or own use. Through the sync between the car rental business software and Google Calendar, your team also sees the bookings in the calendar they already use.
To win customers for car rental in the corporate market, Armiflow searches for companies by industry and location, such as construction firms, service providers or agencies that need long-term rentals. The AI writes personal drafts, and nothing is sent until you approve it. In Austria, marketing emails usually require consent under § 174 TKG 2021, and Armiflow stores consent per channel.
Through the public online booking or as a manual enquiry. A WordPress plugin embeds a booking page with filters and vehicle pages with gallery, availability calendar, extras and live price into your website, and the vehicle cards are readable by search engines. Every booking request is emailed to the team and the customer. You record phone enquiries yourself, and then agreement and report run in the car rental business software.
You create the invoice in the invoicing module; an automatic invoice directly from the booking is not available yet. Armiflow checks every invoice against § 11 UStG, the Austrian VAT Act, numbers run without gaps, and instead of editing, an invoice is cancelled. Customers can pay online via Stripe, and dunning sends reminders for open amounts. Online payment of the down payment from the booking is not yet available.
After signing up for the 14-day free trial, you open the rental module and add your first cars with the vehicle assistant. Then you set up rates, extras, deposit and cancellation tiers as well as your rental terms; sample terms and conditions for rental are created in one step. You import existing customers via CSV or XLSX, so the car rental business software works with your real vehicles from day one.
Yes, you add vans as the van type, but a dedicated equipment or van rental is not provided. For cars, the vehicle assistant knows SUV, sports car, saloon, convertible and van. Each vehicle has seats, dimensions, weight, licence category, fuel tank and rules on pets and smoking. For motorhomes, the car rental business software has its own vehicle types.
The deposit yes, the down payment not yet. The deposit is handled separately from the rent: the renter chooses bank transfer or a credit card guarantee via Stripe, the card is stored with consent and later charged at most up to the deposit amount. Your team records cash or debit card, and a dedicated short link goes out by email or WhatsApp. Release and refund after the return are logged with who and when.
With cancellation tiers: Armiflow supports five of them, which let you set staggered fees depending on when the cancellation is made. Pick-up and return times as well as minimum rental days come on top. The rules sit with the prices and extras on the vehicle and feed into the rental agreement, so renters know the conditions before they sign.
The rental agreement provides for up to three drivers. Via the online link, the renter enters all drivers themselves, with date of birth and licence number as mandatory fields. This saves retyping at the counter. Armiflow does not offer an automatic driving licence check, so checking the document at handover remains your responsibility.
Because the deadlines and costs of every rental car end up where the bookings are. The fleet module reminds you 60 days in advance of the Pickerl inspection under § 57a KFG, servicing, lease end and insurance, and one click turns a reminder into a task. In the log you record fuel, repairs, tyres, damage, fines and tolls. Costs per vehicle show which rental cars pay off.
No. GPS and telematics are planned, but a provider has not yet been chosen. There are currently no interfaces to external rental platforms. Armiflow is designed for your own fleet and your direct customers: bookings, agreements and reports that you manage yourself, with fleet management and invoicing in the same system.
With the Social Media Autopilot module, the AI creates posts with images and videos for Facebook, Instagram, TikTok and YouTube, in review mode or automatically. The module is included in Basic and Pro. You can also run Google and Meta Ads campaigns from Armiflow. This keeps new vehicles and seasonal offers visible without hiring an agency.
With the customer and the rental. Renters automatically become customers tagged “Rental”, matched by email without duplicates. You upload licence data as well as driving licence, ID and registration certificate to the customer, while the report and rental agreement with signatures sit with the rental. Dedicated functions handle access and erasure under GDPR Art. 15 and 17. You set retention periods according to your obligations.
