A shared email inbox for teams brings several email accounts together in one interface that authorised colleagues access jointly. In Armiflow this feature is called ArmiMail. It connects Outlook, Gmail, iCloud, GMX, WEB.DE and IMAP/SMTP accounts and uses role permissions to control who sees and works in which team mailbox.
ArmiMail connects Outlook and Microsoft 365 in one click, Gmail with an app password, iCloud, GMX and WEB.DE. You connect any other account via IMAP and SMTP. This makes the shared email inbox for teams suitable for almost any company, whichever provider it has used so far, and there is no need to switch provider.
Yes. With ArmiMail you have Outlook and Gmail in one inbox, together with other accounts such as iCloud or GMX. You connect Outlook in one click and Gmail with an app password. The server folders appear exactly as they are, so you find your familiar structure in your shared email inbox for teams.
You can manage every email signature without maintaining it in several programs. The signature library contains personal signatures, a company signature from the brand profile and a default signature per account. This keeps your appearance in the shared email inbox for teams consistent, even when many people are writing.
A team mailbox is an email account that several employees use together, such as office@ or support@. In ArmiMail you assign role permissions for it so that only the right people have access. With the separate “Add own mailboxes” permission you decide who may connect additional accounts.
With “Reply + AI”, Armiflow AI prepares a reply to the open email. You read the draft, adjust it and send it yourself. This reflects Armiflow’s core principle: the AI writes drafts, people decide. In the shared email inbox for teams, this saves a lot of typing on routine enquiries.
Yes. ArmiMail translates emails with AI while keeping the message layout intact. This helps with customers and partners from other countries, for example in the DACH region, Eastern Europe or Turkey. You understand the message immediately and can reply in the recipient’s language if needed.
Through the “Insert” field you add an appointment from your calendar, either with an on-site address via Google Places or with a Teams or Meet link. CTA buttons by AI, a booking link and text snippets are also available. This turns the shared email inbox for teams into a tool for arranging appointments directly.
Yes. Drafts are saved on the server of your email account. An email you have started is therefore not lost if you close the browser or switch device. You can also find the draft in your provider’s own program, because ArmiMail mirrors the server folders exactly.
Foreign HTML in incoming emails is sanitised before it is displayed, which lowers the risk from hidden content in messages. Armiflow’s safeguards also apply to your shared email inbox for teams: separate database schemas per customer, encrypted credentials, two-factor authentication, roles and daily backups.
You connect Outlook and Microsoft 365 in ArmiMail in one click by signing in with Microsoft. Your folders then appear as usual. Through the same connection, Armiflow can also use the Outlook calendar for each mailbox, for example to insert or cancel appointments directly from your emails.
Gmail is connected to ArmiMail with an app password. This is a separate password you create in your Google account for a specific application. Your normal Google password stays secret, and you can revoke the app password at any time if you want to end the connection.
Yes. GMX and WEB.DE are supported directly in ArmiMail, as is iCloud. These providers are widely used in German-speaking countries, especially by small companies and freelancers. Teams that do not use Microsoft or Google accounts can also work together in Armiflow this way.
IMAP is the method for retrieving emails, SMTP the method for sending them. Almost every email provider supports both. With these credentials you can also connect accounts in ArmiMail that are not listed directly, for example with your hosting provider. Armiflow stores the credentials encrypted.
Yes. ArmiMail shows your account’s server folders exactly as they are. Subfolders, archive and filing stay in the shared email inbox for teams just as you set them up at your provider. If you move an email in Armiflow, you see the change in your previous program too, because both access the same folders on the server.
Yes. In the ArmiMail editor you can request a read receipt for an email. Whether the recipient sends it is decided by their email program. Besides read receipts, the editor offers To, Cc and Bcc fields and attachments, so everything you know from a modern email program is there.
Brand profiles store a brand’s identity, such as name and signature. Armiflow supports several brand profiles: campaigns and customer groups choose a profile, and emails are written and sent with it. Invoices and contracts use the main profile. The company signature in ArmiMail also comes from the brand profile.
With “Insert” you choose an appointment from your calendar in Outlook, Microsoft 365 or Google. For on-site meetings, Google Places adds the address; for online meetings, Armiflow creates a Teams or Meet link. The recipient sees all the details together in the email.
A CTA button is a clickable button in the email, such as “Book an appointment” or “View quote”. In ArmiMail the AI suggests suitable buttons, which you add via “Insert”. Recipients immediately know what the next step is, without searching for a link in the text.
Text snippets are saved paragraphs for recurring replies, such as opening hours, payment terms or directions. With “Insert” you add them to the email in one click. In a team inbox, text snippets make sure all colleagues use the same correct information in their replies.
There is a separate “Add own mailboxes” permission for this. Only people with this permission can connect additional email accounts to Armiflow. Management keeps track of which accounts are in the shared email inbox for teams and prevents private mailboxes from ending up in the company environment unintentionally.
Role permissions define who can access which team mailbox and which drive. Drives are connected file storage services such as Google Drive or OneDrive. Two-factor authentication, custom roles and encrypted credentials add further protection, so confidential customer correspondence only reaches the right people.
Armiflow connects Google Drive and OneDrive with several accounts, including uploading, folders and the recycle bin. Access to these drives is controlled through role permissions, just like team mailboxes. You choose which files to attach to an email in the ArmiMail editor.
ArmiMail can become your daily email program, but it does not have to. Because folders and drafts are stored on the server, you can keep working in Outlook, Gmail or on your phone in parallel. ArmiMail’s advantage is its connection with CRM, appointments, tasks and AI in one system.
ArmiMail is part of Armiflow and therefore close to the CRM, where companies, contacts, timeline and consent records are stored. With “As task”, an email becomes a task with an AI summary and a link back, which can be linked to a company, customer or contract.
No. Cold email sends campaigns to new companies, with follow-ups and approval before every send. ArmiMail is your daily inbox for ongoing correspondence with customers, partners and suppliers. Both work in the same system, so replies and contacts never get lost between tools.
ArmiMail gives you tools that help with the GDPR: role permissions limit access, credentials are encrypted, and you handle data access and erasure under GDPR Art. 15 and 17 from the CRM. How you implement retention periods for business correspondence is something to clarify with your tax adviser.
The ArmiMail interface is available in German, English, Turkish and French. Each user chooses their own language. The AI also translates incoming and outgoing emails while keeping the layout intact. This way, a multilingual team can work together in one team inbox without misunderstandings.
Yes, in the browser on your smartphone. A native app for iOS and Android is in preparation; a date and feature list have not yet been set. Because ArmiMail works with your providers’ servers, the Outlook, Gmail or GMX apps on your phone remain usable as well.
After signing up for the free 14-day trial by email or with Google, Microsoft, Apple or Facebook, you set up your company details and plan. Then connect your first account, such as Outlook in one click or Gmail with an app password. Add signatures and role permissions as more colleagues join your shared email inbox for teams.
