What is ArmiChat?

ArmiChat is Armiflow’s omnichannel inbox. It brings WhatsApp with several numbers, Facebook Messenger, Instagram Direct, Telegram and SMS via Twilio together in one inbox. Your team sees views such as open, assigned to me or done, writes internal notes and uses AI reply suggestions. Messenger and Instagram for customer messages are still awaiting approval from Meta.

Questions and answers

An omnichannel inbox collects messages from several channels in one shared inbox. Instead of checking WhatsApp, Instagram, Telegram and SMS in separate apps, your team sees all conversations in one place. In Armiflow this feature is called ArmiChat, and it is directly connected to the CRM, contacts and Armiflow AI.

ArmiChat connects WhatsApp with several numbers, Facebook Messenger, Instagram Direct, a Telegram bot and SMS via Twilio. Existing Superchat customers can optionally connect Superchat. For customer messages via Messenger and Instagram, approval from Meta is still pending. All other channels of the omnichannel inbox are finished and live.

Not yet for all customers. Meta’s app review for Facebook Messenger and Instagram Direct is under way, and approval from Meta is pending. As soon as Meta approves, you can connect these channels to your omnichannel inbox. WhatsApp, Telegram and SMS are already available in ArmiChat today.

Yes. ArmiChat works as a WhatsApp Business inbox for your whole team. You connect one or more numbers via the Meta Cloud API, send WhatsApp templates, files and replies, and assign conversations to colleagues. WhatsApp is no longer tied to a single phone but becomes part of your omnichannel inbox.

Yes. With Embedded Signup you connect your number to ArmiChat, and it also stays usable in the WhatsApp Business app. The owner can reply on her phone, for example, while the team works in the omnichannel inbox. Switching to Armiflow therefore does not mean a hard break with your existing habits.

A team inbox shows who is handling which conversation. ArmiChat offers the views open, assigned to me, unassigned, snoozed and done, plus labels. Conversations are assigned to one person, and internal notes stay invisible to the customer. Nobody replies twice, and no enquiry is left lying around unanswered.

Armiflow AI reads the conversation and suggests a suitable reply. You review the suggestion, adjust it and send it yourself. This matches Armiflow’s core principle: the AI writes drafts, people decide. In the omnichannel inbox, this saves time on recurring questions that your team answers again and again.

Yes. ArmiChat sends WhatsApp templates to many contacts at once, observing the STOP list and a daily limit: anyone who has opted out receives no further messages, and the volume per day stays limited. In Austria, marketing messages generally require consent under § 174 TKG 2021, which matters for businesses in Austria and Germany.

When customer communication runs centrally in Armiflow, you see chats next to CRM data, quotes and invoices. Nobody has to ask what a customer wrote last. The omnichannel inbox ArmiChat links conversations to contacts, and consent per channel is available in the CRM together with its legal basis.

Yes, when you connect Meta channels. You select the Meta pages and accounts you want, and the history is imported. The omnichannel inbox therefore does not start empty but with the context your team needs for the next reply. Note that Messenger and Instagram are still awaiting approval from Meta.

More questions from practice

Each number is added in ArmiChat as a separate channel via the Meta Cloud API. All messages then arrive in the same omnichannel inbox, and for every conversation you can see which number it runs through. This is practical for companies with several locations, brands or departments.

Through a Telegram bot, customers reach your company via Telegram. The messages arrive in ArmiChat and are handled there like WhatsApp or SMS conversations, with assignment, notes and AI reply suggestions. That way you also cover customers who prefer Telegram, without opening yet another app.

You connect SMS through the Twilio service. Incoming and outgoing text messages appear in ArmiChat next to all other chats. This helps with customers who do not use WhatsApp or prefer to reply by SMS. SMS conversations can also be assigned, sorted with labels and given internal notes.

Superchat is optional and intended for companies that already use Superchat. You can use this connection in ArmiChat instead of changing everything at once. If you are starting fresh, you connect WhatsApp directly via the Meta Cloud API. This keeps the move to the omnichannel inbox flexible.

Yes. A channel can be removed, and this step is reversible. If you want to get rid of a channel for good, you can also delete it including its conversations. You stay in control of which channels are active in your team inbox and which data remains stored.

Internal notes are comments within a conversation that only your team can see. Colleagues use them to coordinate, for example who sends a quote or what the customer said on the phone. The customer never sees them. Coordination stays with the conversation instead of ending up in another chat.

Snoozed is a view for conversations that are currently waiting, for example for feedback from the customer or a later appointment. They disappear from the list of open conversations but are not lost. The open view stays clear, and your team can focus on enquiries that need a reply right now.

Labels sort conversations by your own criteria, such as enquiry, complaint or order. Every view can be filtered by labels. In a team inbox with many conversations, you quickly find the chats that belong to a topic or department without searching for long.

The statistics in ArmiChat give you an overview of conversations and channels. You see which channels customers use to write and how the volume develops. This helps you decide which channels need more attention and where your team should plan more time for replies.

Yes. In ArmiChat you send and receive files directly in the conversation, such as photos, quotes or documents. Contacts’ profile pictures are displayed so you recognise more quickly who you are writing to. Messages can also be deleted if needed, keeping the omnichannel inbox tidy.

ArmiChat has its own contacts area to which your conversations are linked, and the CRM stores consent per channel with its legal basis. Before sending a message, you can see whether a contact may be contacted via WhatsApp, and you keep customer communication centralised and in view.

The STOP list contains contacts who do not want to receive any further messages. For bulk messages, ArmiChat observes this list automatically, so contacts who have opted out are not contacted again. This protects your customers from unwanted messages and your company from complaints and blocked numbers.

The daily limit restricts how many bulk messages are sent per day. It prevents too many contacts from being messaged at once by mistake and protects your number’s reputation. Together with the STOP list, it keeps bulk messages in the omnichannel inbox under control.

No. WhatsApp is now part of ArmiChat and finished. You connect numbers via the Meta Cloud API and work in the omnichannel inbox with templates, bulk messages and assignment. Only AI telephony via Vapi remains in the test phase, and it is described on a separate page.

Access is controlled by roles and custom roles in Armiflow. With the assigned to me view, everyone quickly finds their own conversations, while the unassigned view shows which chats still need a responsible person. The team inbox stays clear even when several people reply at the same time.

ArmiChat has the same safeguards as all data in Armiflow: separate database schemas per customer, encrypted credentials, two-factor authentication, roles and daily backups. Messages can be deleted and channels removed together with their conversations. You handle data access and erasure under GDPR Art. 15 and 17 from the CRM.

Only with consent. In Austria, marketing messages without prior consent are generally not permitted under § 174 TKG 2021. Armiflow stores consent per channel with its legal basis, and ArmiChat observes the STOP list for bulk messages. If in doubt whether a message is allowed in your case, seek legal advice.

Armiflow AI helps in ArmiChat with reply suggestions. You can also turn a conversation into a task with “As task”, which contains an AI summary and a link back to the chat. A customer enquiry in the omnichannel inbox becomes an actionable task for your team straight away.

Armiflow’s interface, and therefore ArmiChat, is available in German, English, Turkish and French. Each user chooses their own language. This is practical for mixed teams who work together in one team inbox and look after customers from different countries.

A native app for iOS and Android is in preparation; a date and feature list have not yet been set. Until then you use ArmiChat in the browser, including on your smartphone. With Embedded Signup, WhatsApp also stays reachable in the WhatsApp Business app on your phone.
