DATEV integration, across borders too.

Armiflow’s DATEV integration helps when your accounting firm works with DATEV, for example because you do business in Germany: the AI prepares statements and incoming invoices, and at the end of the month you create an export for DATEV.

What is the DATEV integration?

DATEV is accounting and tax software used mainly by accounting firms in Germany. Armiflow provides an export for DATEV in its bookkeeping feature. Beforehand, the AI reads your statements and matches payments to incoming invoices, and a checklist guides you through the month-end close. You check the export and pass it on to your accounting firm.

Benefits

What the DATEV integration prepares for your accounting firm

Armiflow takes over the tedious groundwork, and your accounting firm receives organised data. Invoices you write in Armiflow are checked under Austrian law for the details required by § 11 UStG 1994 (RIS). Information about the software itself is available from the vendor DATEV.

Many businesses in Austria have clients, branches or partners in Germany, and sometimes an accounting firm that uses DATEV as a result. Armiflow keeps the groundwork the same for every accounting firm: read statements, match receipts, close the month. Only the format at the end differs. This keeps your process stable, even if you change accounting firm later.

  • Statements from bank, card, PayPal and Stripe are read by AI
  • Payments are matched to incoming invoices automatically
  • Checklist and email with VAT figures for the month-end close
  • Export for DATEV, and also for BMD, RZL and CSV
Matching receipts automatically: paper receipts fly into a smartphone and land sorted in folders and a cash book

The DATEV integration is an export from the bookkeeping feature. Beforehand, Armiflow reads your statements, matches payments to incoming invoices and guides you through the month-end close with a checklist. You pass the finished export for DATEV on to your accounting firm, which continues working with it in its own software.

Connecting DATEV is worthwhile if your accounting firm works with DATEV. This mainly applies to businesses based in or doing business in Germany, but can also apply to Austrian businesses with a German accounting firm. If your tax adviser works with BMD or RZL instead, simply choose the matching other export.

You connect DATEV to Armiflow via the export in the bookkeeping feature; you do not need your own DATEV licence for this. After the month-end close, you create the export and hand it to your accounting firm. The app shows which data is included. Ideally, agree the requirements with your accounting firm before the first export.

No, what matters is your accounting firm’s software, not where your business is based. Bear in mind, however, that Armiflow is geared to Austrian rules, such as invoice checks under § 11 UStG. For German matters, clarify with your accounting firm whether the export and documents meet its requirements before you use the DATEV integration regularly.

The AI reads bank, card, PayPal and Stripe statements from PDF files and automatically matches the payments to incoming invoices. You check the suggestions and correct them where needed. This groundwork is the basis of the DATEV integration, because the export can only be as complete as the matched receipts.

No. Armiflow automatically matches payments from the statements it has read to suitable incoming invoices. You only check the result and step in where a match does not fit. This saves time, especially with many card payments, because you no longer have to reconcile every transaction line with a receipt individually.

For its bookkeeping exports, Armiflow names the Austrian standard chart of accounts. German accounting firms often work with other charts of accounts. So clarify before the first export how your accounting firm would like to import the data. You can see the details of the export content in the app, which helps you avoid surprises at the first handover.

Then you use one of the other exports: alongside DATEV, Armiflow also offers exports for BMD NTCS/Online, RZL and as a CSV file. The groundwork in the bookkeeping feature stays identical; you simply choose a different format. Ask your accounting firm which format it can import most easily.

The month-end close includes an email to your tax adviser containing the VAT figures. This gives your accounting firm the key numbers in advance, while the export provides the details. Together with the checklist, this creates a fixed routine at the end of the month instead of sending receipts on request.

Every customer has a separate database schema, credentials are stored encrypted, and there are daily backups. Two-factor authentication and roles protect access within the team. This keeps statements and invoices protected before they go to your accounting firm as an export via the DATEV integration.

More questions from practice

The DATEV integration is mainly suitable for businesses whose accounting firm works with DATEV, often with a head office or branch in Germany. For businesses with an Austrian accounting firm, the exports for BMD or RZL are usually the better choice. So what matters is not your industry but your tax adviser’s software.

Agree the chart of accounts, the handover method, the deadline in the following month and any additional receipts. Because Armiflow is geared to Austrian rules, you should clarify particularly carefully for German matters whether the export fits. After that, the DATEV integration can be built reliably into your monthly routine.

Typical issues are missing card statements, unchecked matches and exports created before the month is closed. A chart of accounts that has not been agreed also leads to queries. Use the checklist consistently and clarify the chart of accounts in advance; then correction loops with your accounting firm remain the exception.

One person collects statements and checks the matches, while a second reviews the month-end close and hands the export to the accounting firm. With roles and custom roles, you define in Armiflow who has access to bookkeeping. This way, only the people who really need financial data for their task can see it.

Armiflow offers exports for DATEV, BMD NTCS/Online, RZL and CSV, and you choose which export to create. The app shows whether your specific set-up, such as several companies, can be mapped in one account. If you have questions about this, support at support@armiflow.com will help.

Armiflow checks your own invoices under § 11 of the Austrian VAT Act (UStG). German invoices are subject to their own rules, so clarify with your accounting firm whether your invoices meet its requirements. The DATEV integration exports the prepared data; responsibility for the mandatory details remains with you.

A monthly AI helper searches your mailboxes for missing invoices and files them in Google Drive. In addition, the month-end checklist shows where receipts are still missing. You add whatever is still open by hand. Only then is the export for DATEV worthwhile, as otherwise it passes gaps on to your accounting firm.

Yes. Armiflow AI works with all features on behalf of the signed-in user, so you can ask in the chat about open items in the month-end close. Actions involving money, deletion or settings wait for your confirmation. It is best to check and hand over the finished export yourself.
