What does the Apollo.io integration do?

Apollo.io is a B2B database with company and contact data that many sales teams use to win new customers. With the Apollo.io integration, Apollo.io becomes a search source in Armiflow’s Find companies feature, alongside OpenStreetMap, Google Places, Azure Maps and the Google Maps search. The companies found land in the CRM, and duplicate entries are merged automatically.

Benefits

What Armiflow does with the Apollo.io integration

Apollo.io adds a database built specifically for B2B sales to the map sources. Armiflow uses it as an additional source in the company search.

  • Apollo.io as a search source alongside the map services
  • Cost estimate before the search
  • Duplicates with other sources are merged
  • Public authority protection: government offices, courts and police are not stored

Before you approach companies, you record the legal basis under the GDPR (EUR-Lex) per channel in the company profile.

A typical use case: you combine Apollo.io with a map source to capture both local businesses and companies from the B2B database. Armiflow merges the results, adds social profiles and, via Hunter, contacts. You then decide in the CRM which companies go into a campaign, recording the legal basis per channel in the company profile.

Armiflow uses the Apollo.io integration as a search source in the Find companies feature. Apollo.io adds data from a B2B database to the map services. The results are treated like all others: they land in the CRM, are matched with existing companies and are ready for website analysis and email drafts.

No. Apollo.io is an additional source alongside OpenStreetMap, Google Places, Azure Maps and the Google Maps search via SerpApi or Serper. Each source knows different companies. Combining several gives you the widest coverage, and Armiflow merges duplicate companies automatically.

To connect Apollo.io, you usually need an account with the provider; whether your own credentials are required is shown in the app under data sources. You add the credentials in Armiflow, where they are stored encrypted. Your team uses the source without seeing the credentials themselves.

Yes, the Apollo.io integration is interesting for agencies and service providers that target companies in the B2B space. After the search, the website analysis scores the results’ websites from 0 to 10, including GEO, giving you a concrete reason for the first conversation.

New results from Apollo.io are matched with your saved companies and the results of other sources. Armiflow merges clear duplicates automatically, and unclear cases go to a review list where you decide. That way no company receives the same message twice.

Before every search, Armiflow shows a cost estimate so you know what the query will use. Search runs themselves are unlimited in Basic and Pro, and an adjustable monthly cost limit for AI and Google Places adds extra control. Limits may change; current figures are on the pricing page.

If you connect Apollo.io with Armiflow, the work after the search continues in the same system: website analysis, personal email drafts in the company’s language, campaigns with follow-ups and later proposal, contract and invoice. You do not have to export lists and copy them into another tool.

Yes. Public authority protection applies to every source, including the Apollo.io integration. Government offices, courts and police are neither stored nor contacted. You can extend the ready-made lists for Austria, Germany, Switzerland, Liechtenstein, Turkey and the EU with your own entries if needed.

For contacts and email addresses, Armiflow uses enrichment via Hunter. Armiflow also adds social profiles such as LinkedIn, XING or Instagram. The AI only uses a personal greeting in emails when the name has been verified; otherwise it writes neutrally.

Yes. You describe to Armiflow AI in the chat which companies you are looking for, and the assistant starts the search on behalf of the signed-in user. Via the MCP server, this also works from Claude or ChatGPT. Actions involving customers, money or approvals always wait for your confirmation.

More questions from practice

With the Apollo.io integration, you search for companies in the company search, check the cost estimate first and add the results to the CRM. There you have the websites analysed, add contacts via Hunter and create personal drafts. Every email only goes out after your approval.

Leads from Apollo.io are assigned to team members in the CRM, who with roles only see their own leads. Client groups give each group its own senders, signatures and templates. Follow-up tasks with due dates make sure nobody forgets to follow up after the first email.

Before connecting the Apollo.io integration, check whether your contract with Apollo.io allows use via APIs and how queries are billed. Also clarify who manages the access. Whether the app asks for your own credentials is shown under data sources.

A common mistake is adding large lists to campaigns without checking them. Emails then go to companies that are not a good fit, and the reply rate drops. Check the results, have the websites analysed and only contact companies for which you have a concrete reason.

In the company profile, you store consent separately for email, WhatsApp and phone, each with its legal basis. This also applies to companies from the Apollo.io integration. It stays traceable on what basis you contact a company, and access or erasure requests can be handled directly.

Yes. The Google Maps search via SerpApi or Serper finds locally visible businesses, while Apollo.io adds companies from a B2B database. Armiflow merges duplicates automatically and shows unclear cases in the review list. That way you achieve broad coverage without contacting the same company twice.

As soon as a company shows interest, the lead becomes a customer in your client base. From there you create the proposal, order and invoice, and the customer signs contracts via a link. Everything stays linked to the company profile, so you can trace the path from the first result to the invoice.

The revenue autopilot finds new companies overnight via the company search sources and prepares drafts in the morning. Which sources it uses in detail is shown in the app. Only companies that have never been contacted are approached, and automatic sending requires its own password-confirmed approval.
