Insurance brokers
Armiflow’s insurance broker software is a new industry package: policies with status, deadlines and premium, commissions, claims and mandatory documents sit on the same platform as clients, quotes, contracts and invoices. You choose the insurer freely for each policy, with no tie to any one company.
Policies in 14 linesDeadlines for the next 90 daysCommission per policyClaims with status
The insurance broker module manages policies with status, start, expiry, main renewal date, cancellation period and premium across 14 lines of business. It calculates cancellation deadlines, shows deadlines and expiries for the next 90 days, records initial and renewal commission, tracks claims with status and checks mandatory documents per policy. You import existing policies via CSV with a dry run. There is no comparison calculator and no BiPRO interface.
Policy management
Every policy has its own data sheet in Armiflow: policyholder from the client records, insurer, line of business, policy number and product. On top of that come start, expiry, main renewal date, the cancellation period in months and whether the contract renews automatically.
You store the premium with its payment frequency, from monthly to annual or as a single premium. You describe the insured risk in free fields, such as registration number, living space or type of business. That makes the policy management fit motor insurance just as well as commercial cover.
Deliberately not included are comparison or quote calculators and interfaces to insurers or broker pools such as BiPRO. You maintain the data yourself or import it via CSV.
Insurers
You choose the insurer freely for each policy from your insurer list. A pre-filled list of more than 70 well-known companies from Austria, Germany and Switzerland can be adopted with one click and extended at any time. There is no tie to any one company. The table names common insurers in Austria and Germany as examples. Compatible with policies from all insurers – no cooperation, interface or endorsement by the insurers named; names, trademarks and logos belong to their respective owners and are shown for orientation only.
| Area | Examples |
|---|---|
| Insurers in Austria | Allianz, Generali, UNIQA, Wiener Städtische, Donau Versicherung, Zurich, HDI, Helvetia, Grazer Wechselseitige, Merkur, MuKi |
| Insurers in Germany | Allianz, ERGO, AXA, R+V, HUK-COBURG, DEVK, Signal Iduna, BarmeniaGothaer, Württembergische, Nürnberger |
| 14 lines of business | Motor, household contents, homeowners, liability, legal expenses, accident, life, pension/retirement, health, occupational disability, travel, commercial, property, other |
| Insurer list | More than 70 companies from AT, DE and CH pre-filled, with broker contact and portal link; you upload each insurer’s logo yourself |
| Manage lines of business | Create your own lines, rename or hide the built-in ones |
| Choice per policy | Freely selectable, including several insurers for the same client |
Deadlines
From the expiry date and cancellation period, Armiflow calculates the last day to cancel and shows everything due in the next 90 days.
Enter start, expiry, main renewal date and cancellation period in months, or import via CSV.
The module calculates the cancellation deadline as expiry minus notice period, including for automatic renewal.
Deadlines and expiries for the next 90 days are collected in one list.
Any deadline becomes a task with a due date in one click, also for colleagues.
Commission & claims
For each policy, you record the initial commission and the renewal commission. The overview shows the commissions together with the annual premium, so you can see which contracts generate which income.
Claims are attached directly to the policy: claim number, date of loss and date reported, description, amount and amount paid out. A history with notes shows what happened when, even if several people handle the case.
Documents
The advice record and broker mandate are set up as mandatory documents and checked for each policy. Whether your documentation meets the requirements of the Insurance Distribution Directive (EU) 2016/97 (EUR-Lex) and the Austrian Trade Regulation Act (GewO) remains your responsibility as a broker. Armiflow only shows which document is missing.
| Document | Check in the module |
|---|---|
| Advice record | Mandatory document, always checked |
| Broker mandate | Mandatory document, always checked |
| Policy | Mandatory document as soon as the status is active |
| Application, claim notification, expert report | Stored on the policy or claim |
| Invoice, photo, correspondence | Stored on the policy or claim |
| CSV import | Import policies, with a dry run first that saves nothing |

FAQ

Armiflow’s insurance broker software is a new industry package that you activate in the plugin marketplace under industry packages. You then find the Insurance area in the Business menu, with policies, deadlines, commissions, claims and documents. Everything sits on the same platform as CRM, quotes, contracts, invoices and bookkeeping, so there is no second system to maintain.
The software for insurance brokers is aimed at brokerage firms and insurance agencies that want to manage their portfolio and their sales in one system. If you currently keep policies in spreadsheets, deadlines in a calendar and clients in a separate CRM, you get everything in one place. The module does not offer comparison calculators or insurer interfaces.
Policy management stores policyholder, insurer, line of business, policy number and product. On top of that come status, start, expiry, main renewal date, cancellation period in months, automatic renewal and the premium with payment frequency. You record the insured risk in free fields. This way the insurance broker software maps every policy completely on one data sheet.
The insurance broker software covers 14 lines of business: motor, household contents, homeowners, liability, legal expenses, accident, life, pension and retirement, health, occupational disability, travel, commercial, property and other. That covers both private and business clients. Anything that does not fit a line goes under other, with the risk described in free fields.
For every policy, Armiflow calculates the last day to cancel from the expiry date minus the cancellation period. An overview shows all deadlines and expiries for the next 90 days. With one click, a deadline becomes a task with a due date that you assign to yourself or a colleague. That way no deadline gets lost in the insurance broker software.
To manage commission, you enter the initial commission and the renewal commission for each policy. The commission overview shows these amounts together with the annual premium, so you can also assess your portfolio financially. There is no automatic settlement with insurers, because no interfaces to insurance companies exist at present.
To manage claims, you create a case directly on the policy: claim number, date of loss and date reported, description, amount and amount paid out. The status runs from reported through in progress, loss adjuster and settled to rejected or closed. A history with notes records every step, and you attach documents such as expert reports.
The advice record and broker mandate are set up as mandatory documents and checked for every policy, and the policy itself as soon as its status is active. If a document is missing, you see it immediately. The insurance broker software only checks whether a document exists, not its content. You remain responsible for your obligations under the IDD and the GewO.
Yes. Policies can be imported from a CSV file. First, a dry run shows which rows would be imported and where details are missing, without saving anything. Only then do you start the actual import. This lets you switch from spreadsheets or your previous insurance broker software without retyping every policy by hand.
No. In the insurance broker software, you choose the insurer for each policy freely from your own insurer list, for example Allianz, Generali, UNIQA or ERGO. You manage the list yourself in the module. There is no cooperation, interface or endorsement by the insurers named, and trademarks belong to their respective owners.
No. The module contains no comparison or quote calculator for tariffs. You obtain insurers’ quotes as before via their portals or your comparison programs. You store the portal link for each company in the insurer master data so you can reach it quickly from Armiflow. You then enter the accepted policy in the module.
No. Interfaces to insurers or broker pools, for example via BiPRO, are not available at present. You record policy data yourself or import it via CSV with a dry run. If you need to retrieve a lot of data automatically from insurers, take this into account in your planning and use Armiflow alongside your pool for now.
No, Armiflow makes no such promise. The insurance broker software sets up the advice record and broker mandate as mandatory documents and checks for each policy whether they exist. Whether your advice and documentation meet the requirements of the IDD and the Austrian Trade Regulation Act is your responsibility as a broker. If in doubt, have your processes legally reviewed.
A policy can have the status quote, applied, active, dormant, cancelled or expired. This lets you map the whole journey from the first quote to the end of the contract. From the status active, the policy itself counts as a mandatory document, while the advice record and broker mandate are always checked regardless of status.
The cancellation deadline is calculated as the expiry date minus the stored notice period in months. If, for example, a policy expires at the end of the year with three months’ notice, Armiflow shows the end of September as the last day to cancel. The calculation is based on your input, so check special rules of individual contracts in their terms yourself.
The automatic renewal field marks policies that renew unless they are cancelled. With such contracts in particular, the cancellation deadline matters, because a further term begins once it has passed. In the 90-day overview, you see these deadlines in good time and can discuss with the client whether the contract should stay or be replaced.
You store the premium with a payment frequency from monthly to annual, or as a single premium. This gives the annual premium, which also appears in the commission overview. So for each client you can see at a glance how much premium is due across all policies per year and which contracts account for which share of it.
You describe the insured risk in free fields directly on the policy. For motor, that might be the registration number and vehicle, for a home the address and living space, for commercial cover the activity and location. Because the fields are free, the policy management fits every line of business without a rigid form for each type of risk.
In the insurer master data, you keep each company once with its broker contact and portal link. For every new policy, you pick the insurer from this list instead of typing the name again. If a contact person changes, you update it in one place. You can add further insurance companies to the list at any time.
Initial commission is paid for closing the contract, renewal commission for ongoing servicing. You enter both for each policy, and the overview shows them separately next to the annual premium. This lets you assess in the software for insurance brokers how your income is split between new business and existing portfolio. You enter the amounts yourself.
A claim goes through the statuses reported, in progress, loss adjuster, settled, rejected and closed. Each case has a history with notes, so colleagues immediately see what happened last when questions come in. You store the claim notification, photos and expert reports as documents directly on the case, so nothing gets lost in an inbox.
You can assign policy, application, advice record, broker mandate, claim notification, invoice, photo, expert report and correspondence. Each document has a type so the mandatory document check recognises what is present. In policy management you thus find all documents for a contract in one place instead of spread across inbox and network drive.
The client file in your client records links all of a client’s policies. There you see insurance policies with status and deadlines alongside contacts, quotes, contracts and invoices. For advice meetings, you have the client’s entire portfolio in front of you without switching between insurance broker software and CRM during the conversation.
The module has its own permission in role management. So you decide which roles may see and edit policies, commissions and claims. Together with two-factor authentication, this protects sensitive client data in the insurance broker software, for example when assistants and sales staff look after different areas of the business.
You find the insurance broker module in the app’s plugin marketplace under industry packages. After activation, the Insurance area appears in the Business menu. The insurance broker software is an add-on module that is not included in any package and is booked separately. The plugin marketplace in the app and the pricing page show the current price.
No, the module has no dedicated consent module for insurance. Consent for email, WhatsApp and phone is stored by the general CRM per channel with its legal basis. Industry-specific declarations, for example on health data, you store as a document and check yourself which form is required for them in your market.
Yes. In the 90-day overview, every deadline becomes a task with one click. Tasks in Armiflow have priority and due date, can be assigned to one or more people and linked to a client or contract. That way the cancellation deadline of a policy lands in the responsible person’s task list instead of a forgotten note.
Yes, via contracts and e-signature. Clients sign directly on screen – drawn by hand with a finger, mouse or stylus, via an online link or on site. In addition, Armiflow stores name, time, IP address, browser, consents and a SHA-256 checksum as evidence, and the signed PDF is archived for later reference.
Yes, if you bill services yourself, for example fee-based advice. Invoices are checked against § 11 UStG, the Austrian VAT Act, with gapless numbers, cancellation instead of editing and the right tax rates. Payment can be made online via Stripe. The invoice is linked to the client and appears next to their policies in the client file.
Every customer account has a separate database schema, credentials are stored encrypted, and there are daily backups. Two-factor authentication, roles and a dedicated permission for the insurance module control access. You handle data access and erasure requests under GDPR Art. 15 and 17 directly from the CRM of the insurance broker software.
